When to send a client follow-up
A good follow-up email is useful when a client has not replied, a project is blocked by missing information, or a decision is needed before the next milestone can move forward.
Follow-up email structure
- Open with the current project status.
- Name the specific item you need from the client.
- Explain what happens after they reply.
- Mention any timing risk without blaming the client.
- End with one clear call to action.
Waiting on approval
Rough notes
homepage ready for review waiting on approval before building inner pages client has not replied since Friday want friendly but direct
Client-ready output
Hi, Following up on the homepage review. The homepage is ready for your approval, and I need your feedback before I move into the inner pages. Once you approve it or send edits, I can continue with the next section of the build. If I do not hear back soon, the project timeline may shift because the next pages depend on this direction. Could you send your approval or notes when you have a chance?
Missing assets
Rough notes
need final product photos layout is mostly done cannot finish visual polish without images client wants launch next week
Client-ready output
Hi, A note on the launch timeline. The layout is mostly complete, but I still need the final product photos before I can finish the visual polish. Once I have those images, I can place them into the page, run the final checks, and confirm the launch timing. Could you send the final photos today or let me know when they will be ready?
